How a Long-Term Technology Partnership Supports Two Growing Healthcare Practices
Running a growing healthcare practice means always being prepared to adapt and modernize – which is demanding enough before adding information technology (IT) into the equation.
In 2010, that pressure was real for Dr. Jeffrey Sabatino as he planned to expand his specialty practice, Mequon Vein and made steps to launch a second business, Milwaukee Laser & Body Aesthetics. With piecemeal IT contractors and projects, every change introduced risk. Ontech Systems, Inc., became Dr. Sabatino’s dedicated IT partner in 2010 to provide a full team that functions as an IT department.
A Dedicated IT Department
From day one, Dr. Sabatino was assigned a dedicated Account Manager and a dedicated Account Technician, Scott Howard, along with full access to the Ontech help desk. Every interaction at Ontech starts with people who already know the business, the environment, and the goals of the practice.
The long-term relationship has evolved into a true technology partnership over the course of more than 15 years, with Ontech Systems, Inc., supporting the growth of Mequon Vein and Milwaukee Laser & Body Aesthetics through the delivery of flexible, secure, and forward-thinking managed IT services.
“Ontech leads and manages our entire IT infrastructure – they are our IT infrastructure,” said Matt Zychowski, clinic manager for Mequon Vein and Milwaukee Laser & Body Aesthetic. “It’s a symbiotic relationship.”
Multi-Location Connectivity
The Ontech Professional Services Team designed Dr. Sabatino’s network environment from the ground up to meet the security requirements needed for HIPAA compliance, ensuring that patient health information was properly protected across every location before anything else was built on top of it. From that secure foundation, the team standardized workstations, printers, and network hardware across three practice locations to create a stable, consistent, and manageable environment.
Ontech also implemented a centralized phone system engineered to route calls between locations automatically, giving staff the ability to transfer calls, share lines, and communicate across sites as if they shared a single office. The outcome is a reliable, secure foundation that reduced the day-to-day friction of working across multiple sites and gave the practices confidence that their patient data is properly protected.
Keeping Pace with Constant Change
Healthcare practices do not stand still. As Mequon Vein and Milwaukee Laser & Body Aesthetics grew, added staff, and shifted to becoming in-network providers, Ontech adapted alongside them.
When new employees join, the Account Manager and Account Technician work together to make sure accounts, devices, and access are set up correctly, so staff are productive from day one. When new software platforms are introduced, the help desk team coordinates to make sure everything is configured and working properly. When the practices added a new billing service, the Ontech Professional Services Team worked directly with the vendor to get the software installed, integrated, and operational without slowing down the billing cycle.
Urgent IT issues have become rare rather than routine, reducing the burden on clinical staff and minimizing interruptions to daily operations. That consistency starts with having a dedicated Account Technician who already knows the environment and does not need to start from scratch every time something needs attention.
“The Ontech team is accessible, things run smoothly, and we work together proactively,” Zychowski said. “Scott Howard is great. We talk weekly and he is a very big reason we insist on a continued partnership.”
Planning Ahead
This kind of forward-looking work is driven by the Strategic Business Review process the Account Manager conducts with the practices on a regular basis. Rather than waiting for problems to surface or equipment to fail, the Account Manager takes time to understand how each practice operates, what is changing in the business, and what is on the horizon before making any technology recommendations. From those conversations, a technology roadmap takes shape that gives leadership visibility into future needs and the ability to budget well in advance.
In 2023, when Dr. Sabatino made a strategic decision to consolidate three clinic locations into a centralized two-location model anchored by a new hub in Brookfield, Ontech was ready to go. The Account Manager worked closely with Dr. Sabatino to understand the goals, constraints, and operational needs of the consolidation before anything was scoped or scheduled. The Ontech Professional Services Team managed the migration and ensure the consolidated environment was properly configured, secure, and ready to support the new operating model from day one.
With a dedicated IT partner, leadership is not expected to track the technology landscape on their own. Clinical staff stay focused on delivering an exceptional patient experience, knowing that as the business and technology changes, Ontech will continue to be their trusted partner.
